Job Summary:

We are seeking a highly organised and proactive Administrative Support Specialist. The successful candidate will provide comprehensive administrative support to ensure the smooth and efficient operations of our clients. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Job Details:

  1. Administrative Support:
    • - Manage and organise emails, schedules, and calendars for team members.
    • - Coordinate and schedule meetings, appointments, and travel arrangements.
    • - Prepare and edit correspondence, reports, and presentations.
    • - Handle confidential information with discretion.
  2. Communication:
    • - Serve as the primary point of contact for internal and external communications.
    • - Draft and distribute emails, memos, and other communications on behalf of the team.
    • - Manage phone calls and virtual meetings, ensuring professional and timely responses.
  3. Data Management:
    • - Maintain and update company databases, spreadsheets, and records.
    • - Conduct data entry and ensure the accuracy and integrity of information.
    • - Generate reports and summaries as required.
  4. Customer Service:
    • - Provide excellent customer service to clients and partners.
    • - Address inquiries and resolve issues promptly and professionally.
    • - Maintain positive relationships with stakeholders.
  5. Project Coordination:
    • - Assist in the planning and execution of projects and events.
    • - Monitor project timelines and deliverables, ensuring deadlines are met.
    • - Collaborate with team members to achieve project goals.
  6. General Office Duties:
    • - Perform general office duties such as filing, photocopying, and scanning.
    • - Order and manage office supplies and equipment.
    • - Support other administrative tasks as needed.

Qualifications:

  • - Proven experience as an administrative assistant, virtual assistant, or similar role.
  • - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • - Strong organisational and time-management skills.
  • - Excellent verbal and written communication skills.
  • - Ability to work independently and as part of a team.
  • - High level of attention to detail and accuracy.
  • - Ability to handle multiple tasks and prioritise effectively.
  • - Familiarity with virtual communication tools (e.g., Zoom, Slack, Teams).

Preferred Skills:

  • - Experience working in a remote environment.
  • - Knowledge of project management software (e.g., Trello, Asana).
  • - Basic knowledge of bookkeeping and financial reporting.
